Providing a suitable pitching space

By reserving a date you are agreeing that a minimum 6-metre square flat grassed area will be provided for us to safely pitch on the day. This space must be free from any rubbish/large stones/protruding roots that could cause damage to the bell tent and or pose a safety risk to our staff. 

The space must also be free from any large animal droppings i.e. from cats/dogs/fox/horses/livestock etc - we will not pitch the tent in unsanitary conditions and failure to provide a suitable space will result in your booking being cancelled. 

No animals/pets are permitted inside the tents - paws/claws can tear the canvas and/or groundsheet in addition to animal urine posing the potential to stain the canvass. Damage to the tent caused by animals resulting from customer negligence is chargeable via a damages fee of £180.00.

Tent Rules & Damages

No shoes are allowed inside the tents, a doormat and shoe basket are provided to enable you to remove and store your shoes. 

 

Do not swing or dance on the centre pole or run/jump around the guy ropes.

Any damages arising from the above will result in a £180.00 damages fee being charged.

If damage to the tent is severe and exceeds the £180 damages fee, for example if we have to buy a new tent, or if multiple elements of the tent are damaged, you will sent an itemised bill.

 

Understanding Our Damages Fee(s)

As our tents are for commercial use and hired out to our consumers for a variety of event types, they must be professionally serviced/repaired. For example - if the tent canvass is damaged and deemed repairable it will be sent to our specialists for repair. This will involve packing and securely couriering the tent both to and from the repair specialists, in addition to the repair itself. During this time we are also physically unable to hire the tent to customers.

 

Damages Fees are Per Tent meaning:- If you have hired more than one tent and damages are found to more than one tent you will be charged a damages fee for each damaged tent.

 

Understanding Our Replacement Fee(s)

 

If the damage(s) to our tent is irreparable and requires replacement, you will be charged a replacement fee which will be itemised per item to be replaced- you can find an example of these fees below:

 

6m Tent Full Replacement - £850.00

5m Tent Full Replacement - £620.00

4m Tent Full Replacement - £420.00

4m Tent (Webbed design) Full Replacement - £510

 

6m Groundsheet Full Replacement - £200

Deposits

All reservations are subject to a 25% deposit fee, this secures your date within our diaries and is deducted from the total balance due on the day. Deposits are non-refundable, if you do wish to cancel please contact us and we will do our best to transfer your deposit to another suitable date. Delivery is free within 10miles from the centre of Nottingham, outside of this range, a delivery fee will be applied.

Delivery & Collection

Set up/Take Down We will do our best to accommodate a set-up/take-down time that is convenient for you and your event. Please leave us a note at the time of booking with your preferences. Our default set-up/take-down times are 11.00 am - 11.00 am the following day. We do our best to provide you with a full 24hrs hire, so if for any reason we are late setting up we will extend your booking with the additional hire time the following day. For example, if we are 30 minutes late you will get 30 minutes additional hire time. 

 

Underground Services

We will not be liable for damage to any underground services, where you (the customer) have not made us aware of such presence. This includes electrical cables, sewage pipes, gas pipes etc. 

Cancellation Policy

 

If you need to cancel - although deposit payments are non-refundable (our deposit payments are set to 25% of the total booking fee - this mostly covers the admin required for each booking ) we will do our best to work with you to transfer your deposit to another date with us. 

If you wish to cancel please inform us as soon as possible, you can do this via email to bookings@glampexperience.co.uk 

If we need to cancel - In very rare circumstances we may need to cancel your booking, for example, if it is unsafe to pitch because of severe weather/weather warnings. Your safety is paramount and if the weather poses a risk to life we reserve the right to cancel or amend your booking. In this circumstance, we would aim to re-book you for a safer date or refund your deposit. 

If your space/garden isn't suitable - If upon arrival it is deemed that the space provided for us to pitch is unsuitable, we reserve the right to cancel your booking. 

 

Wind/ Extreme Weather - We reserve the right to cancel your booking in the event of extreme weather conditions such as storms/high winds that pose a threat to your safety or the integrity of our tents.

We take your privacy seriously, we never EVER disclose, sell or forward your personal information onto any third parties. The information you provide will be handled with the strictest confidence and only used in conjunction with your booking and subsequent correspondence with The Glamp Experience.
